Timekeeping and payroll are mandatory tasks for a company, but how can they be made more efficient? The best way to make these more efficient is to combine electronic time tracking and TES interpretations. When implemented well, this combination saves a lot of working hours and minimizes the risks associated with payroll. With a cost-effective implementation, you can really save a lot of money and ensure fair payroll.

Lightweight TES interpretations

In smaller companies, with around 5–15 employees, it is not always necessary or sensible to implement full automatic wage interpretations in accordance with the collective labour agreement (TES). Often, a lighter and more affordable solution is sufficient, as not all TES interpretations are equally essential for the company's everyday life.

In practice, this means that rarer special situations can be excluded from automation. Instead, the accounting firm can add these manually when needed, which reduces system complexity and brings cost savings. This way, the payroll process remains smooth without unnecessarily heavy system investments.

What is meant by TES interpretations of working time tracking?

Modern time tracking services include the option to implement TES interpretations. The purpose of TES interpretations is to automate routine manual work related to payroll.

In practice, TES interpretations are a collection of salary rules, according to which the work entries made by the employee are converted into salary data suitable for salary calculation. Using the defined rules, the service automatically distinguishes, for example, overtime, evening and weekend bonuses and sliding balance. The calculation can also take into account, for example, weekday holidays, Sundays, weekly rest compensation, emergency payments and on-call time.

TES interpretations are always defined company-specific to take into account TES requirements, company-specific practices, and local agreements. Once the salary rules are defined in the service, processing is automatic.

Why are TES interpretations always determined on a company-by-company basis?

Many people think that salaries are paid according to a certain template in accordance with the collective agreement and that TES interpretations are simply activated for use. However, the matter is a little more complicated. As the name suggests, TES interpretations contain some interpretation and room for maneuver. The content is therefore interpreted slightly differently in different companies and in some cases TES also offers different options for one thing, from which you can choose the most suitable one. Therefore, salary rules cannot be directly copied from one company to another, but must always be adapted to the company's practices.

What are the benefits of TES interpretations for working time tracking?

Payroll tasks take up a lot of time in many companies, but this doesn't necessarily have to be the case. Supervisors, HR and payroll accountants are left with the task of checking and copying hours from timesheets and calculating various bonuses manually, which takes a lot of time. Errors in payroll can be costly.

Benefits of TES interpretations:

  • TES interpretations can save significant working time. The amount of manual work and errors are reduced, which reduces the number of working hours used for payroll.
  • The employee can view their own work entries, which improves transparency.
  • Any corrections before the specified deadline are easy to make if necessary.
  • In addition to these, there are other benefits of electronic time tracking, such as accuracy and efficiency. Information about the benefits can be found at from this article.

TES implementation can prevent potential problems caused by changing payroll or HR personnel:

  • If payroll includes manual labor, the people involved often have tacit knowledge of how salaries and bonuses are calculated.
  • Problems can arise when personnel change if this tacit knowledge is not passed on.
  • The TES implementation helps solve this problem because it allows for the automation of computation into the system, reducing or eliminating the need for tacit knowledge.

When should you use TES interpretations?

It is worth considering implementing TES interpretations in your company, especially if:

  • There are at least 10 employees
  • Payroll accounting takes a lot of time to interpret salaries
  • The company needs overtime and/or sliding scale calculations
  • There are several different employee groups in use, whose salaries are interpreted in different ways.
  • Payroll calculations must take into account events that affect wages, such as overtime, public holidays, Sundays, evening bonuses, weekly rest compensation, emergency payments, and on-call work.

In such companies, the implementation of TES interpretations is most beneficial, as it saves a lot of working time and effectively reduces errors.

Can sliding scales be introduced when implementing salary rules?

Slides are usually defined in conjunction with salary rules, as calculating slides requires defining salary rules. For example, vacations, absences, and public holidays affect the calculation of slides, so they must be taken into account in the salary rules. Slides can also be used in parallel with overtime, in which case the system selects which working hours they are calculated for.

How is TES-interpreted work data transferred to payroll?

The TES-interpreted payroll data can be transferred to payroll software via an interface. Payroll software usually supports data transfer from other systems. There are several different ways to transfer data:

  • SFTP export. Data is automatically transferred to a pre-configured SFTP server. The best and most secure solution.
  • CSV file. The data is transferred using an export file.
  • Excel file. Work information can be listed in an Excel file, from which it is quite easy to copy it to payroll.
  • Other possible implementation. Other types of interface implementations are also sometimes used.

What does paid interpretation entail?

The following issues may be taken into account in salary regulations, among others:

  • Different industries
  • Various collective agreements (TES)
  • Different employee groups (e.g. hourly, monthly salary, seasonal work, etc.)
  • Different weekly working hours
  • Local agreements

In addition, special cases can be taken into account, such as:

  • Weekdays and Sundays
  • Evening bonuses, weekly rest allowances and emergency allowances
  • On-call work, shift work and other compensation for more specific working hours.

What is the process for implementing TES interpretations?

Typically, the deployment process goes like this:

  1. The client/accounting firm contacts us. We conduct an initial survey of the necessary payroll rules. At this stage, a preliminary price and schedule estimate can be provided.
  2. The client/accounting firm provides the necessary information on salary rules, salary types (including salary type numbers), employee groups and possible special cases.
  3. If necessary, we will contact you with additional questions, and we can also arrange a Teams meeting.
  4. We provide a detailed price and schedule estimate for the implementation planning.
  5. The customer places an order, and we begin implementation.
  6. The rules are ready to be tested.
  7. After acceptance testing, salaries can begin to be paid through TES interpretations.

Supervisors and/or payroll should review work entries before transferring them to payroll. If there are changes in practices or TES, payroll will be updated as necessary.

  • Salary.fi
  • Tikon
  • MS Power BI
  • Visma L7
  • Visma Nova
