What is personal data used for?

Navicom may use service information for the following purposes:

  • To provide time tracking, access control and vehicle tracking services to customers
  • For service development and testing

If the customer has an interface service in use and has given consent to data export, it is possible to export data to other information systems. Through the interface, data can be exported to, for example, payroll systems, invoicing systems or Vastuu Group Oy services, with the customer's consent.

The client company is responsible for the use of the register. The client company acting as the register controller can choose for which other purposes the service information is used.

What information can be collected?

The register may contain the following information about the controller's employees:

  • name
  • address information
  • Employer's name and address information and Business ID
  • e-mail address
  • telephone number
  • tax number
  • Trump card symbol

In addition, the user's password is stored in the service.

What is the source of the information?

Employees' personal data is received from the client company's contact persons at the beginning of the customer relationship and during it, if it has been agreed with the client that we will add users to the system. The client's administrative users can also add users to the system themselves and supplement user data.

If an access control service is in use and an employee logs in to work using a Valttikortti card, the employee's information is automatically retrieved from Suomen Tilaajavastuu Oy's Veronumero.fi service.

How is the data protected and how is it stored?

The data is stored on a server that meets the requirements of the GDPR regulation. The physical and digital security of the server is ensured in accordance with the GDPR regulation.

How long is the data stored?

The data will be stored at least as long as the data is legally required to be stored (e.g. the Accounting Act). The data controller may also delete the data themselves or request Navicom Oy to delete it.

What rights does the data subject have?

As a registered user, you have the right to:

  • check the personal data in the register
  • receive a copy of the personal data concerning you
  • ask us to correct, update, transfer or delete your information.

Requests regarding the above rights must be sent in writing to the controller. If necessary, the controller may ask the person making the request to provide proof of identity.

The client company is responsible for the implementation of the data subject's rights. The administrator ensures that the data controller has the opportunity to ensure the implementation of the data subject's rights, so that the data controller can, for example, view, correct and delete data if necessary.

Will information be disclosed to third parties?

If the customer has an interface service in use and has given consent to data export, it is possible to export data to other information systems. Through the interface, data can be exported to, for example, payroll systems, invoicing systems or Vastuu Group Oy services, with the customer's consent.

Authorities may require the registry administrator (Navicom Oy) to disclose information. Navicom may disclose information to authorities upon order or request of the authorities.

Can this privacy policy be modified?

We reserve the right to change this privacy policy, for example due to changes in legislation. It is possible to check the last update date in this document. The customer accepts the changes by continuing to use the service.

  • order and billing information

  • telephone number

In addition, our register may include information related to customer relationship management and customer communications.

What is the source of the information?

Customer information is collected from the customer at the beginning of the customer relationship. The information is updated and supplemented whenever necessary during the customer relationship.

The marketing register information is collected from the following sources:

  • Directly from contacts, meetings, contacts and contact requests
  • Publicly available internet sources. For example, company websites, company search services

How is the data protected and how is it stored?

Personal data is stored in a secure system that complies with the requirements of the GDPR. Only Navicom Oy's sales staff can access the data using personal identification.

What rights does the data subject have?

As a registered user, you have the right to:

  • check the personal data in the register
  • receive a copy of the personal data concerning you
